Audit Trail

Audit Trail

Audit Trail refers to a detailed record of all activities, transactions, edits, or changes made within a system, document, or financial record.
In simple Filipino terms: ito yung step-by-step na bakas ng lahat ng ginawa — sino ang nag-edit, ano ang binago, at kailan nangyari.

Audit trails are used in accounting systems, POS systems, HR systems, inventory tools, and even simple spreadsheets to ensure transparency and accountability.

Why Audit Trail Matters

For Filipino MSMEs, an audit trail is extremely valuable because it helps you:

  • Prevent fraud or internal theft — especially in cash-heavy businesses
  • Track errors — you can see who made a mistake and when
  • Improve accountability — employees know actions are recorded
  • Strengthen compliance — useful for BIR audits and financial reviews
  • Protect your business — especially when multiple people access your system

Many Filipino businesses rely on trust alone — but as your business grows, an audit trail becomes essential to avoid losses and maintain clean financial records.

Example / Context

Example 1 (POS System):
Your cashier voids a transaction. The audit trail records:
Voided by: Ana, 3:42 PM, March 10.”
This helps you check if the void was legitimate.

Example 2 (Inventory System):
A staff member adjusts stock levels. The audit trail shows who changed the quantity and why.

Example 3 (Accounting Software):
Your bookkeeper edits an invoice. The audit trail logs the original amount, the new amount, and the timestamp.

Example 4 (Google Sheets / Excel):
Even spreadsheets have version history — a simple form of audit trail that shows who edited what.
